Our company is looking to hire an experienced professional Secretary to be responsible for Secretarial and Front Office Management. Duties will involve performing detail secretarial duties and managing the Front Office/Reception, answering incoming phone calls and correspondences to ensure maximum productivity. You will also be required to prepare presentations and produce reports.

 

To be a successful hire, the applicant will need to have professional experience in secretarial and admin assistantship, and must also be proficient in Microsoft Office applications (MS Word, Excel, PowerPoint, and Outlook).

Responsibilities
  • Performing professional Secretarial duties to the entire office team and support to the P.A.
  • Managing and answering of incoming and outgoing phone calls.
  • Welcoming and directing clients/visitors appropriately.
  • Overseeing general front office operation and maintaining a clean ambience.
  • Coordinating meetings, interviews, and office events.
  • Producing reports, composing letters and correspondences for dispatch.
  • Creating presentations and other project reports.
  • In charge of vehicle bookings and compiling of vehicle log records.
  • Generally responsible for staff accommodation and flight reservations for travels.
  • Coordinating with the Office Assistant to call for servicing, maintenance, and repairs of office equipment.
  • Coordinating with Office Assistant in supervising Office Cleaner and restock of office stationary.
Qualifications
  • Professional Secretaryship Certificate or its equivalent.
  • 3 – 5 years’ work experience in Secretarial and Admin. Assistantship.
  • Office management experience.
  • Excellent computer skills, including a high proficiency in Microsoft Word, Excel, Outlook, and PowerPoint.
  • Resident in within Accra and its environs is an advantage.
